Inclement Weather / Pool Closure:
Rain does not cancel a lesson. Part or all of a lesson may be cancelled for thunder and/or lightning.
If a lesson is cancelled due to pool closure:
- the lesson fee will be deleted from the account and
- if paid, that amount will be applied to unpaid fees or a credit balance will remain on the account.
If pool and instructor availability allow, BDA will offer additional lesson opportunities at the current lesson rate.
Partial lesson credit is applied to the account for an incomplete lesson due to inclement weather or pool closure. The amount of lesson credit is dependent on the lesson time completed and the lesson cost.
A lesson is considered complete when a student completes:
- 15 minutes of a 30-minute lesson (if less than 15 minutes is complete then the lesson fee will be deleted from the account)
- 30 minutes of a 45-minute lesson (if less than 30 minutes is complete a partial credit will be applied to the account)
- 45 minutes of a 60-minute lesson (if less than 45 minutes is complete a partial credit will be applied to the account)
Instructor Absence:
If a substitute instructor is available for the lesson:
- BDA will make the instructor change and notify the customer
- the lesson fee will remain on the account
- an instructor change that results in lesson cancellation by the customer is considered a Student Absence
If a substitute instructor is not available for the lesson:
- the lesson fee will be deleted from the account
- if the lesson fee was paid, that amount will be applied to unpaid fees or a credit balance will remain on the account
- BDA does not offer make-ups for cancelled lessons – at your request, we can add an additional lesson at the current rate
Student Absence:
- All requests to cancel lessons must be emailed to info@bluedolphinsaquatics.com
- A cancellation request communicated only to the instructor is considered a student absence; instructors do not handle scheduling
- Lessons missed due to no shows, injury, sickness, family emergency or a student not participating in a lesson follow the policies below
- If the student has a fever or shows other signs of illness, please cancel the lesson
- BDA does not offer make-ups for student absences - at your request, we can add an additional lesson at the current rate
Cancellation Requests for Private and Family Lessons:
If the cancellation request is received 48 hours or less in advance of the scheduled lesson date, the lesson is considered a student absence and:
- the lesson fee will remain on the account
- NO CREDIT or REFUND will be issued
- at your email request, another family member may take the scheduled lesson instead of the currently enrolled student (the substitute student must be registered and their annual fee must be up-to-date or will be billed in addition)
If the cancellation request is received between 48 hours and 14 days in advance of the scheduled lesson date, the lesson will be cancelled and:
- the lesson will remain on the account and 50% of the fee is still due in order to cover administrative expenses
- if paid, the appropriate amount will be applied to unpaid fees or a credit balance will remain on the account
If the cancellation request is received at least 15 days in advance of the scheduled lesson date, the lesson will be cancelled and:
- the lesson fee will be deleted from the account -or-
- if paid, that amount will be applied to unpaid fees or a credit balance will remain on the account
Cancellation Requests for Semi-Private Lessons:
If the cancellation request is for one or both students and received 48 hours or less in advance of the scheduled lesson date, the lesson is considered a student absence for the cancelling party(ies) and:
- the lesson fee will remain on the account(s)
- NO CREDIT or REFUND will be issued
- the non-cancelling party still pays the semi-private lesson for that lesson
If the cancellation request is received between 48 hours and 14 days in advance of the scheduled lesson date:
- the lessons will be cancelled if both parties put in a cancellation request and
- the lesson will remain on the accounts and 50% of the fee is still due by both parties in order to cover administrative expenses
- if paid, the appropriate amount will be applied to unpaid fees or a credit balance will remain on the account
- the lesson will still take place if only one party cancels and
- for the cancelling party the lesson will remain on the account and 50% of the fee is still due in order to cover administrative expenses
- if the cancelling party has paid, the appropriate amount will be applied to unpaid fees or a credit balance will remain on the account
- the non-cancelling party still pays the semi-private lesson rate for that lesson
If the cancellation request is for one or both students and received at least 15 days in advance of the scheduled lesson date, the lesson will be cancelled for the requesting party(ies) and:
- the lesson fee will be deleted from the cancelling account(s)
- if paid, that amount will be applied to unpaid fees or a credit balance will remain on the account(s)
- if only one party requests to cancel at least 15 days in advance of the scheduled lesson date, BDA will contact the second party to confirm converting to a private lesson at the current private lesson rate or cancelling the lesson
